Zarnuma Staff App — Terms of Use

STATUS: FINAL — Version 1.0, approved by the Owner, 6 September 2026. Comes into force for each staff member when they read and accept it in the App.

1. What this app is, and who these Terms are for

The Zarnuma Staff App at staff.zarnuma.com (the "App") is the internal working tool of M/S FAWAD FLOUR AND GENERAL MILLS, 1-KM Nankana Road, Warburton, Tehsil & District Nankana Sahib (the "Company"). Zarnuma is one of the brand names the Company uses on its products, and the one this App carries. The App is used by employees and authorized staff of the Company's sales office, warehouse, and mill dispatch to record orders, stock, deliveries, money, and approvals.

These Terms apply to every person who is given a login. By signing in and by recording your acceptance on first sign-in, you agree to them.

These Terms sit alongside your employment terms — they do not replace them. If these Terms ever conflict with your employment contract or with the law, the contract and the law prevail.

The App is a private business system. It is not offered to the public, and nothing in it is an offer or advice to anyone outside the Company.

2. Your account and password

  1. Your account is created for you by management and is personal to you. Never share your password. Never sign in as someone else, and never let anyone else sign in as you — even a manager, even to "help".
  2. Nobody can read your password — it is stored one-way encrypted, and management will never ask you for it. Anyone who asks for your password is acting against these Terms.
  3. If you forget your password, the Owner can reset it. The new password is shown once, and the reset itself is permanently recorded.
  4. Tell the Owner or Finance immediately — the same day — if:
    • you think someone else knows your password or used your account; or
    • a phone or computer you use for the App is lost or stolen (so your sessions and any enrolled fingerprint on that device can be disabled).
  5. For security, the App signs you out automatically after 24 hours without activity, and in any case 7 days after sign-in. You then sign in again.
  6. Using another person's account, or letting someone use yours, is serious misconduct — and unauthorized access to an information system is also a criminal offence in Pakistan (Prevention of Electronic Crimes Act, 2016).

3. Electronic signatures — the heart of this App

The App exists so that every important action is signed and can never be denied later. You agree to the following:

  1. When you confirm an action with your typed password or with your fingerprint / Face ID, that confirmation is your electronic signature. You intend it to identify you and to bind you the same way your ink signature on paper would, as recognized by the Electronic Transactions Ordinance, 2002.
  2. Every signature is recorded permanently: who signed, what exactly was signed, when, and whether it was by password or fingerprint.
  3. Signed records are append-only. Nobody — including the Owner — can edit or delete them. A mistake is corrected by a new signed entry (for example a credit note, a shortfall resolution, or a reversal), never by changing history. This protects you as much as it protects the Company.
  4. Where more than one person may approve the same item, the first approval decides it for everyone. Certain decisions deliberately require two signatures (for example selling below the mill floor price, or dispatching the rickshaw under its 2,000 kg load) — both signatures are individually recorded.
  5. You are responsible for every action signed under your account, unless you had already reported the account or device compromised under Section 2(4) before the action happened.
  6. The password path is always available. A broken sensor, a borrowed phone, or an unenrolled device never blocks you from working.

4. Fingerprint / Face ID (passkeys)

  1. Enrolling your fingerprint or face is optional and is offered in addition to your password, never instead of it.
  2. Your fingerprint or face never leaves your device. The App receives and stores only a cryptographic key. The Company cannot see, copy, or reconstruct your fingerprint or face from anything it holds.
  3. By enrolling, you agree that a confirmation made with your device's fingerprint / Face ID counts as your electronic signature under Section 3, exactly like your typed password.
  4. You can see and remove your own enrolled devices at any time in My Profile → Fingerprint & Face ID.

5. True records only

  1. The App is the Company's book of record and its evidence. Enter only what is true: real quantities, real amounts, real dates, and photos of the actual thing (the actual deposit slip, the actual loaded vehicle, the actual delivery, the actual receipt).
  2. Never sign for something you did not personally see, count, or receive. In particular:
    • a receiver of cash signs only for the amount they themselves counted;
    • the Warehouse Keeper signs only for bags they themselves counted;
    • an approver signs only after reviewing the evidence shown on the approval screen (order lines and prices, the shop's credit position, the payment proof photo, and so on). Approving without looking is itself a breach of these Terms.
  3. Recording false information, uploading a misleading photo, or signing a false confirmation is serious misconduct and may also be a criminal offence (forgery and electronic fraud under Pakistani law, including the Prevention of Electronic Crimes Act, 2016).
  4. If you make a mistake, report it the same day to your manager or through Report a problem. Mistakes are fixed by signed corrections; hiding or "adjusting" them is what turns a mistake into misconduct.

6. Money you handle belongs to the mill — custody rules

  1. All sale money belongs to the mill (the Company), not to the office and not to any staff member. Cash you collect is held by you in trust and is recorded in your name from the moment you take it.
  2. You must deposit collected cash into a listed mill bank account, or hand it to Finance / an Owner, within the deadline shown in the App (currently 12 hours). Banking it requires a photo of the deposit slip. Only the bank accounts listed in the App under Bank accounts may be used — never a personal account.
  3. You can never sign cash out of your own name. Custody moves only when the receiver signs for the amount they counted, or when the bank deposit is recorded with its slip.
  4. If a receiver counts less than what was recorded as handed over, the difference stays in the giver's name as unresolved cash until it is resolved with a signed note. The Owner is notified of every shortfall.
  5. Money entrusted to you and not delivered may be recovered from you in accordance with your employment terms and the law, and withholding or misappropriating entrusted money may constitute criminal breach of trust under the Pakistan Penal Code, in addition to dismissal.

7. Prices, credit, and approvals

  1. Product prices are negotiated per sale, but the mill floor price is the minimum. A sale below the floor price, or an order that takes a shop over its credit limit, is only valid with the required manager approval and signature (below-floor additionally requires the Owner's signature). The Owner is notified of every such override.
  2. Do not promise a shop a price or credit the App has not approved. An unapproved promise is yours, not the Company's.

8. Commission, payroll, and advances

  1. Commission is governed by the Company's commission policy in force (currently: a pool of 0.30% of recovered commissionable sales, split 20% Team Lead / 20% Sales Manager / 60% among salesmen by their share of the month's recoveries, each salesman's share gated on his own monthly target). The Sales Manager sets salesman targets.
  2. A slice not earned is forfeited — if you miss your target for a month, that month's salesman slice is kept by the business. It is not deferred, not carried forward, and never owed later.
  3. Figures shown in the App (commission, payslip previews) are provisional until the payroll run is approved and paid. Payroll is the only path by which commission is settled.
  4. Salary advances you have taken are recovered automatically from your payslips, oldest first, as your monthly pay allows. Absence deductions entered by Finance appear on the payslip before it is approved.
  5. Payslips are visible only to you, Finance, and the Owner.

9. Your duties by role

Everyone follows Sections 1–8. In addition, your signature carries the specific meaning of your role:

Sales ManagerOwns selling rules: approves below-floor and over-credit-limit orders, sets commission targets, approves credit notes (returns that reduce a shop's debt), co-signs rickshaw under-fills. May not approve an item they raised themselves.
Operation ManagerOversees warehouse operations and logistics: stock adjustments, load orders, approves a Team Lead's delivery requests, co-signs rickshaw under-fills.
Team LeadApproves salesmen's orders, delivery requests, and new shops — after reviewing the evidence shown. Monitors collections.
SalesmanWorks only his own assigned shops. Raises orders at honestly negotiated prices; collects payments and either hands cash over or banks it within the deadline; his recovery and target progress determine his commission slice.
Recovery AgentCollects the mill's money from the receivables worklist. Sees deliberately limited customer information (no phone numbers, no statements) — this is by design; do not try to obtain more through colleagues. Same custody rules as everyone.
Warehouse KeeperThe gate of the warehouse: nothing enters or leaves stock except on the keeper's own counted signature. Their count is the recorded truth; discrepancies against dispatched figures are recorded and escalated, never smoothed over. Keeps damaged and useable returns strictly apart.
DriverHandles goods only, never money. Accepts the plan, confirms the load matches the signed loading, photographs the drop-off, and records honestly how many bags each shop actually took.
Mill DispatcherRecords every vehicle leaving the mill — photo of the load, products, driver name, mobile, vehicle number — before it departs. May never count his own dispatch into stock; the keeper's count decides.

If you hold more than one role, all of their duties apply to you.

10. Confidentiality

  1. Everything in the App is confidential Company information: customer names, addresses, phone numbers, balances and ledgers, negotiated prices, the Company's financial figures, and your colleagues' records.
  2. Use this information only to do your job. Do not share it outside the Company; do not tell one shop another shop's prices or balance; do not post screenshots of the App anywhere.
  3. The App deliberately limits what each role can see. Do not attempt to work around those limits or ask a colleague to pull up information your role cannot see.
  4. This duty continues after you leave the Company.

11. Acceptable use and security

  1. Do not attempt to bypass the App's security, probe its interfaces, access data beyond your role, use another person's session, or run scripts or automated tools against the App without the Owner's written permission. These acts are misconduct and may be offences under the Prevention of Electronic Crimes Act, 2016.
  2. If you discover a security weakness, report it at once through Report a problem or to the Owner. Good-faith reporting is welcomed and will never be held against you.
  3. Keep the device you use for work reasonably secure: a screen lock, and operating-system updates when available.

12. Notifications

Push notifications are optional per device and exist to help you act quickly. Your duties and deadlines (for example the cash deadline) apply whether or not notifications are enabled or delivered. Official records live in the App — a message on WhatsApp or SMS is not an approval and not a record.

13. Company property

  1. The App, its records, and every photo uploaded to it are the Company's business records and property.
  2. Company assets assigned to you (official phone, number, email, rickshaw) are recorded in the App and must be returned when you leave.

14. When you leave

Your access is revoked when your employment ends or when the Owner suspends it (for example during an investigation). The records of your past actions remain in the App permanently — they are the Company's books. Final settlement of custody balances, advances, and assets follows your employment terms.

15. Availability and changes

  1. The App is provided as a working tool, as it is. It may occasionally be unavailable (maintenance, faults, connectivity). Report problems through Report a problem; the deadlines in Section 6 still apply, using the other available channels (hand cash to Finance / an Owner).
  2. The Company may add, change, or remove features at any time.
  3. These Terms may be updated. You will be shown the new version in the App and asked to accept it again; each acceptance is recorded with its version number, date, and signature method.

16. Governing law

These Terms are governed by the laws of the Islamic Republic of Pakistan. Disputes go first to the Owner; failing resolution, to the courts at Lahore.

17. Acceptance

On your first sign-in (and after any update to these Terms) the App asks you to read and accept them, confirmed with your password or fingerprint. That acceptance is recorded permanently like every other signature in the App.
